Key terms

Export: Documents converted to their finished file format e.g. HTML files being converted into PDF documents.

Document: Documents can be created by users from their available suite of templates. Documents are the individual pieces of collateral that live inside a project folder e.g. brochures, web ads, signage, business cards, social media tiles, etc. These documents can be edited based on the inputs available in that template. Documents may or may not require approval in order to be exported and downloaded, shared, or printed.

 

What is Exporting? 

Exporting is the process of taking your edited document from Content Automation and converting it into the required file format.

 

How to Export

  1. Once you are happy with your document and have gone through the approval process, select the export button from either within the edit screen or from the project screen as shown below:

    PROTIP:
    You can export multiple documents from the project screen simultaneously, just select the documents in question, and select export.

  2. Once your document is exported, you can either click on the document to view a preview or download it straight from the export screen.

    Export Screen: You can download your document straight from the export screen, or select the share link.

    Document Preview:
    Similar to the export screen, you can choose to either download or use a share link, but in this view, you are shown a preview of your document.

Draft Exporting

Draft exporting, as the name suggests, allows you to export a draft of your document, prior to going through any approval process. This can be helpful if you need to get external stakeholders' feedback on a document, and don't want to go through the approval process just yet.

Draft export is only available from the edit screen, and may not be available in all accounts and on all documents. 

 

How to Draft Export

  1. Click on the edit screen of the document you wish to edit
  2. If the option is available, you will see the option to Draft Export in the top right-hand corner of your screen:

  3. This will then follow the same process as a regular export, however, there will be a watermark across your document, signifying it is still in the draft stage. 

Frequently Asked Questions

I can't see the export button, instead, it says "request approval", how can I export my document? 

This means you first need to get your document approved, select the request approval button and you will be prompted with a list of appropriate approvers, once your document is approved this button will change to the export button and you will be able to export your document.
